Follow-ups, Tasks & Reminders

⏰ Never let a hot lead go cold

Notification Calendar (FB)

Most lost deals aren't lost because of the offer — they're lost because nobody followed up at the right time. Messenger Organizer has three built-in reminder tools that work together to keep every lead warm. This tutorial shows you when to use each one.

The three tools

ToolWhat it doesUse when...
Follow-UpSchedules a "ping me about this lead on date X".You said "I'll check back next week" and want to actually do it.
Task ManagerColor-coded to-dos attached to a specific lead. The next step is more concrete than a check-in ("send PDF", "call them").
Desktop NotificationA native OS popup at a specific time.A meeting, a launch, anything time-critical.

All three feed the Notifications Calendar, where you can see your whole month at once.

Step 1: Set a follow-up on a specific lead

  1. Open the lead in your CRM (or open the live chat with the Messenger Organizer overlay attached).
  2. Click the Follow-Up button on the lead card.
  3. Pick a date — "in 3 days" is usually a safe re-engagement window for cold leads.
  4. Save. The follow-up appears on the Notifications Calendar and on the Dashboard home screen.

Step 2: Add a task with a clear next step

When the next action is concrete, use Tasks instead of a generic Follow-Up.

  1. Open the lead card.
  2. Click Task Manager.
  3. Type the task in plain English: "Send PDF brochure", "Confirm pricing", "Re-share testimonial".
  4. Pick a color to indicate priority (red = urgent, yellow = this week, green = whenever).
  5. Set a due date. Save.

Step 3: Schedule a desktop notification for time-critical moments

For things you absolutely cannot miss — a kickoff call, a webinar reminder, a launch — set an OS-level popup.

  1. Open the lead card.
  2. Click Desktop Notification.
  3. Pick the exact date and time.
  4. At that moment, a native popup appears in the bottom-right of your screen (Windows) or top-right (Mac).

Step 4: Plan your week from the Notifications Calendar

Every Monday morning:

  1. Dashboard → Notifications Calendar.
  2. See every follow-up, task, and notification for the week on a real calendar.
  3. Decide which day you'll handle each block.

If everything is piled on the same day, drag yourself a little breathing room — open the lead, edit the date, save.

Step 5: Sync to your daily agenda (optional)

If you live in Google Calendar, push your Messenger Organizer reminders there too:

  1. Dashboard → SettingsGoogle Calendar Connection.
  2. Click Sign in With Google, pick the calendar you want to sync to.
  3. Toggle the automation on. New reminders now show up alongside your meetings.

Habits that make this work

  • Set a follow-up on every conversation the moment you finish chatting. The 30 seconds it takes pays for itself the first time you actually re-engage a lead you'd have forgotten.
  • Keep tasks specific. "Follow up" is a procrastination trap. "Send the calendar link to {name}" gets done.
  • Review the calendar every morning, not weekly. The whole point is that something pings you the day it matters.

Next Steps: Connect Google Calendar from Settings so reminders show up in your daily agenda app, or set up an Auto Responder so leads aren't waiting on you while you're heads-down.
