🔍 Find anyone in seconds, even with thousands of leads

Once you have hundreds of conversations tagged, the hard part isn't tagging anymore — it's finding the right person quickly. This tutorial covers every filtering and search tool Messenger Organizer offers.

The four ways to find a lead

Tool 1: The Unread Messages dashboard

If you're behind on replies, this is the fastest way to catch up.

  1. Dashboard → Unread Messages.
  2. Click the green Sync Unread Conversations button. The system scans Facebook for everything still unread.
  3. Read each preview without opening the chat first.
  4. Use the folder dropdown at the top to narrow down — "only unread messages from Hot Leads".
  5. For each row, either:
    • Click the Messenger icon to open the chat and reply.
    • Click the trash icon if it's spam or doesn't need a reply.
  6. Click Clear List when you're done to start fresh next time.

Tool 2: Native filter inside Messenger

Filter your actual Facebook inbox down to one folder, without leaving Messenger.

  1. Open facebook.com/messages.
  2. Above your chat list, find the small funnel icon Messenger Organizer adds.
  3. Click it and pick a folder.
  4. The Facebook chat list now only shows people in that folder.

This is the best way to do focused outreach — pick "Cold Leads" and only see those people, with no other distractions.


Tool 3: Filter the CRM tables

Each CRM tab (Facebook / Instagram / Skool) has its own filtering.

  1. Open the CRM tab (e.g. Facebook CRM).
  2. Filter by folder: use the All Conversations dropdown to pick one folder.
  3. Filter by date range: pick start and end dates above the table to see leads from a specific window (e.g. "campaign launch week").
  4. Filter by recent activity: click the clock icon to sort by most recently updated.
  5. Sort alphabetically: click the up/down arrows next to the Name column.
  6. Adjust page size: pick 50, 100, 150, or all leads using the Show Leads dropdown.

When to use which

  • "Where did this April webinar lead end up?" → date range filter.
  • "Show me everyone in 'Hot Leads'." → folder dropdown.
  • "Who replied today?" → click the clock icon (sort by recent activity).

The search bar at the top of the dashboard searches across the table you're currently viewing.

It matches:

  • Lead name (full or partial)
  • Folder name (typing "hot" surfaces every lead in any folder named "Hot Leads")
  • Tag name

Pro tip: searching notes

Notes are searchable too. If three weeks ago you wrote "budget $500k" on a lead and forgot who they were, type 500k into the search and Messenger Organizer surfaces them.


Tips

  • Build the habit of clearing Unread Messages weekly. Treating it like an inbox-zero exercise keeps you from drowning in old conversations.
  • Use date filters for campaign attribution. When you want to know "how many leads did the April webinar bring in", filter the CRM by "signed up between April 1–15".
  • Keep folder names short. "Hot" is faster to filter to than "Hot Sales-Qualified Leads From Webinar Funnel".
