Using Smart Filters & Search

🔍 Find What You Need, When You Need It

When you're dealing with hundreds of conversations, even a well-organized folder system might require a quick search tool. Messenger Organizer includes powerful filters and an advanced search engine designed for Facebook Messenger and Instagram.

The "Unread Conversations" Dashboard

Catching up on missed messages is critical for customer support and sales. Instead of scrolling through your inbox, the CRM does it for you.

  1. Go to "Unread Messages"
    • Click on the Unread Messages tab in the main left sidebar.
  2. Sync Your Conversations
    • Click the green Sync Unread Conversations button. The system will pull every unread message from your Messenger into a clean list, organized by Folder.
  3. Catch Up on Responses
    • You can read the Last Message preview directly in the dashboard and jump straight to the chat using the Messenger link.
    • If you don't need to reply to a specific conversation, click the red Remove (trash) icon to clear it from this list, or use Clear List to empty the dashboard entirely. You can also filter the unread items by specific folders using the top dropdown.

Advanced Search by Content and Notes

You can do more than just search by a person's name.

  1. Open the Dashboard or Search Bar
    • Look for the search bar at the very top of the Messenger Organizer Dashboard.
  2. Search by Note Content
    • Have you forgotten who asked you about a specific product? Simply type a keyword (e.g., "condo" or "budget $500k") that you previously saved to a lead's notes.
  3. Search by Assigned Tags/Folders
    • It's easy to locate the conversation by searching for custom tags or the names of specific folders you created.

Filtering the CRM Table View

When managing large volumes of leads, refining the table view speeds up your workflow.

  1. Open Facebook CRM / Instagram CRM
    • From the main dashboard, go to your preferred platform's CRM screen.
  2. Adjust Items Per Page
    • By default, the list might show 50 items. You can adjust this view to see more or fewer leads at once.
  3. Filter by Date Range
    • See only leads acquired in a specific window, such as the current week or during a specific promotional campaign.
  4. Filter by Specific Folder
    • Use the dropdown on the top right ("All Conversations") to isolate the table to a single folder, such as "Followup Leads".
