Importing Leads From a CSV

If you already have a list of Facebook or Instagram leads in a spreadsheet — from another CRM, a giveaway entry form, a paid ads list, or just notes you kept in Excel — you can import them in a single click.

What you'll need

  • A .csv file (not .xlsx, not Google Sheets — export to CSV first).
  • The file must have exactly two columns with these exact headers:
    • Name — the person's name on Facebook (or Instagram username).
    • Profile — the full URL to their profile page.
  1. Open the dashboard → Import.
  2. Click Download Sample File at the top of the page.
  3. Open the sample in Excel, Google Sheets, or Numbers — you'll see the format. Replace the rows with your own data and save as CSV.

Step 2: Format your spreadsheet

Your CSV should look like this:

Common mistakes to avoid:

  • ❌ Extra columns (Email, Phone) — only Name and Profile are read.
  • ❌ Headers spelled differently (name lowercase, Profile URL, etc.).
  • ❌ Missing profile URLs — every row needs a real link.
  • ❌ Saving as .xlsx instead of .csv — Excel will warn you when you save; pick Yes, keep this format.

Step 3: Upload the file

  1. On the Import page, click the green Browse Files button.
  2. Pick your .csv. The leads will appear in a preview table on the screen.
  3. If the table looks empty or wrong, click Clear All and check your CSV format.

Step 4: Tag everyone in bulk

You almost never want a fresh import to land in "Uncategorized". Tag them while you're importing.

  1. Use the checkboxes at the top of the preview table to select every imported lead (or just some of them).
  2. Open the Choose to tag/folder dropdown.
  3. Pick the folder you want everyone to land in (e.g. "April Webinar Signups" or "Imported – Cold List").

Step 5: Click Import All

  1. Click the Import All button.
  2. Watch the progress indicator — depending on list size this takes a few seconds to a minute.
  3. When it finishes, jump to Facebook CRM (or Instagram CRM) and your leads will be there.

Tips

  • Create the destination folder first. Make a folder called "Imported – April" before you import, so you're tagging everyone at once and not sorting them later.
  • Import in batches if you have a huge list. Splitting 5,000 rows into 5 files of 1,000 each makes it easier to fix mistakes if a column is misformatted.
  • Don't try to import phone-only or email-only lists. Messenger Organizer needs a Facebook/Instagram profile URL to attach a lead to a real chat. If your list only has emails, you'll need to find the matching profile first.

What gets created vs. what doesn't

  • ✅ A new lead row in your CRM with the name, profile link, and folder.
  • ✅ A clickable link straight to their Messenger or DM thread.
  • ❌ The extension does not automatically message imported leads. To message them, use Schedule Messages once the import is done.

Next Steps: Now that they're imported, send a welcome broadcast with Schedule Messages, or visualize them on the Leads Board.
